GENERAL SCOPE OF POSITION:
Reporting directly to the Associate Director of International Student& Scholar Services (ISSS) and under the supervision of the ISSS Director, the Program Assistant is responsible for providing general programmatic support and administrative assistance related to the International Student and Scholar Services (ISSS) office.
The Program Assistant oversees the general office operations, including, but not limited to, hiring and supervising the ISSS student workers and the overall operations of the ISSS front office, overseas submitting and returning of documents to students online.

As part of the larger staff in the ISSS office and the Office of International Initiatives, the Program Assistant collaborates and cooperates with unit staff, and, when appropriate, across divisions and departments, to create a supportive University community that encourages and supports student learning and development in the Jesuit, Catholic tradition and commits to:

Responsibilities:
oProvide excellent customer service to a diverse constituency.
oOversee ISSS front office operations, which includes reception services for ISSS visitors and providing information about ISSS services and immigration benefit requests to students and scholars.
oRespond daily to general inquiries and requests for information from ISSS clients via email, phone, and in-person, and provide appropriate referrals to the ISSS advisors.
oDevelop an understanding of immigration requirements for students and F-1 and J-1 student visas to best triage students to their advisoroHire, train, and supervise student assistants assigned to the department, and manage the semester schedule, student hours and office budget.
Continuously review student assistant work and provide additional training where needed.
oOverseas and design ISSS communication materials, this includes but is not limited to the design and distribution the ISSS Weekly Update and other ISSS communications through campus e-newsletter software, the creation and management of ISSS social media presence, serving a webmaster for the ISSS website and as social media administrator for ISSS' social media accounts.
oMaintain Banner records for international students and scholars, including the placement/removal of ISSS-related holds, address changes, etc.
oProvide program support services to the staff such as meetings coordination, room reservations and setup, catering requests, etc.
oOversee logistics of both Fall and Spring International Student Orientations which serve as the University's official welcome to the international student population.
oMake sure the website and any online material meet the accessibility requirements as sta by the University.
oEnsure that all ISSS published materials including but not limited to handouts, webpages, and announcements are updated timely.
oServe as Designated School Official (DSO) for routine reporting requirements and requests as determined by the supervisor.
oPrepare confidential as well as routine correspondence and reports for the other ISSS staff.
oAssist with online purchasing, reimbursement forms, and invoice payments for ISSS staff members, when needed.
oPurchase office supplies, orientation items, and other items as needed, using the proper University procedures and accounting practices.
oKeep office materials and supplies organized and inventoried.
oCoordinate ISSS projects and activities as directed.
oMaintain liaison with University departments and off-campus vendors as directed.
oOther duties as assigned.
Qualifications:
Post high school education is preferred.
Training or experience equivalent to five years of increasingly responsible work experience in a senior support role or related education.
The Program Assistant must have a thorough understanding of and commitment to support the Vision, Mission, and Values of the University.
The Program Assistant must also demonstrate an open and friendly attitude toward others and an ability to handle multiple projects simultaneously with accuracy and thoroughness.
In addition, the candidate must demonstrate sensitivity to the needs of students from a variety of cultures and traditions; experience in working with students (and preferably international students) in a higher education environment is highly desirable.
The candidate must demonstrate a willingness to learn about and contribute to all of the present and future activities of the ISSS office.
Also required is an ability to work with a minimum of supervision and to independently analyze, recommend, and implement new/changes to procedures.
The candidate must have advanced experience working with computer database systems and word processing and spreadsheet software, and must be customer service- and team-oriented.
Proficiency in another language is desirable.
Some evening and weekend work may be required.
