Summary:
The Office Assistant provides administrative and clerical support for the Student Disability Services (SDS) office, which is responsible for overseeing accommodations and services for students with disabilities, including:
Health, Hearing, Vision, Psychiatric, Mobility, Physical, Temporary, Learning Disabilities, and AD/HD.
The SDS Office Assistant coordinates various accommodations and support services for students with disabilities, works under minimal supervision maintaining knowledge of SDS policies to handle problems and deviations in accordance with the SDS mission and program goals.
The Office Assistant reports to the Assistant Director for Student Disability Services.

Job Description:
Job Responsibilities Oversees and provides office reception using strong customer service (e.
g.
answers phones, greets and problem solves with University students, staff, faculty, parents and other office visitors, and directs inquiries to various campus resources for assistance).
Coordinates exam proctoring (e.
g.
scheduling/proctoring exams, maintaining exam security, assists with coordinating final exams).
Gathers and organizes initial demographic, academic, and disability-related (confidential and sensitive) information for students inquiring about services provided through SDS.
Provides administrative/clerical support to SDS program.

maintains student database, does file maintenance, and generates communications).
Provides administrative/clerical support to the Directors of SDS (e.
g.
schedules appointments/meetings, takes meeting minutes, answers phone calls/inquiries on behalf of Directors).
Assists with hiring, training, scheduling, supervising, and monitoring of the student assistants who work for SDS.
Assists SDS and disability specialists in working with the Public Safety and Facilities Management offices to ensure campus accessibility for disabled students, e.
g.
, helps monitor transportation services, elevator/lift maintenance Coordinates adaptive/alternative media accommodations and other complex technology (e.
g.
converting course documents into alternate formats, installing assistive technology, working with vendors, and maintaining university licenses to technology, etc.
).
Developing contacts with vendors and alternative media companies to anticipate future needs and changes.
Assists with the monitoring and tracking of office expenses e.
g.
, student salaries, office supplies, assistive technology purchases, independent contractor expenses, etc.
Resolves conflicts and concerns as they arise in the absence of supervisors.
Performs general office duties Represents SDS and USF during on-campus resource fairs or Campus Visit days and acts as SDS office liaison with outside vendors and other departments on campus.
Meet with incoming and prospective students and families to triage their needs and answer their questions regarding Student Disability Services, as well as general questions about USF Performs other duties as assigned.
Minimum Qualifications High School diploma required Post high school education preferred Training or experience equivalent to four years of increasingly responsible work experience or related education.
Excellent skills in oral and written communication Flexibility and openness to working with individuals with diverse communication and work styles Sensitivity to a wide variety of student issues (i.
e.
disability-related, crises, etc.
) Experience organizing administrative systems Experience with customer service, data entry, and word processing Excellent computer skills; proficiency in Microsoft Access and MS Word and PowerPoint in both PC and Macintosh environments Extensive MS Excel and spreadsheet experience required Ability to handle multiple tasks and to work in a dynamic office setting required Ability to work well independently and within a team Strong customer service orientation Additional Knowledge, Skills, and Abilities Able to work some evenings and weekends A commitment to Affirmative Action goals Understanding of and commitment to USF's Vision, Mission and Values to perform non-routine assignments and handle problems and deviations in accordance with established instructions, guidelines, or program goals.
